Privacy Policy
Users Business Solutions (“we,” “us” or “our”) provides users.solutions, a platform that studios, schools, academies and fitness centers use to run their business. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.
The short version: we do not sell personal information. We use it to provide the Service. Information that businesses manage about their students and families belongs to those businesses, and we handle it on their behalf.
1. Who this policy covers
- Visitors to our website, including people who chat with our own AI assistant.
- Customers: the businesses that use the Service, and their owners and staff.
- Our Customers’ contacts: students, members, parents, guardians, leads and other people whose information a Customer manages in the Service, or who use a Customer’s booking widget, forms, parent portal, AI chat or phone assistant.
For our Customers’ contacts, the Customer decides what information to collect and how to use it, and we process it on the Customer’s behalf as a service provider. If you are a student, parent or other contact of a business that uses users.solutions, that business’s own privacy policy also applies, and it is usually the best place to send requests about your information.
2. Information we collect
Information you provide
- Account and business information, such as your name, email address, phone number, business name and address, and the staff accounts you create.
- Billing information. Payments are handled by Stripe. We receive limited details, such as your billing contact and the last digits of your card, but not your full card number.
- Customer Data that Customers enter or collect through the Service, such as names, contact details, dates of birth, class enrollments, attendance, lesson notes, performance scores, invoices and payments, signed waivers, reviews and bookings.
- Communications, including text messages and emails sent or received through the Service, AI chat transcripts and, where a Customer enables them, AI phone call recordings and transcripts.
- Support requests and other messages you send us.
Information collected automatically
- Usage and device information, such as IP address, browser type, pages viewed, and the date and time of requests, recorded in our server logs.
- Cookies that keep you signed in and remember your preferences (see Cookies).
Information from connected services
When a Customer connects an integration, we receive the information needed to make it work. Examples are calendar availability and events (Google Calendar or Outlook), video meeting details (Zoom), accounting records (QuickBooks), payment status (Stripe) and automation events (Zapier).
Google Calendar data
If a Customer connects Google Calendar, we use Google’s OAuth to request two permissions, and we use them only for the following:
- Availability (calendar.freebusy): we check only the free/busy times of the calendar the Customer selects, so we never offer a booking time when they are busy. This permission does not let us see the titles, descriptions or attendees of the Customer’s events.
- Booking events (calendar.events): when a call or appointment is booked, we add one event for it to the selected calendar, and we delete that event if the booking is cancelled. We never change or delete events we did not create.
We store the OAuth tokens and the IDs of the events we create, and nothing else from Google Calendar. We do not sell Google user data, use it for advertising, or use it to train AI models, and we transfer it only as needed to provide these features. A Customer can disconnect Google Calendar at any time in AI Company Settings, or revoke access at myaccount.google.com/permissions.
Users Business Solutions’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
3. How we use information
- To provide and operate the Service, including scheduling, bookings, attendance, billing, reminders and the messages Customers choose to send.
- To process payments and manage subscriptions.
- To provide support and to communicate with Customers about their account, security, billing and changes to the Service.
- To keep the Service secure, prevent fraud and abuse, and comply with carrier and messaging rules.
- To understand how the Service is used, fix problems and improve it.
- To send Customers news about our own products, which they can opt out of at any time.
- To comply with the law and enforce our Terms of Service.
We use Customer Data only to provide the Service to the Customer it belongs to, as the Customer instructs. We do not use it to market our own products to the Customer’s contacts.
4. AI features
Our AI chat and phone assistants and other AI features send the relevant content, such as a visitor’s message, the business information a Customer has configured and the conversation so far, to our AI service providers to generate a response. We send only what is needed for the feature, and we do not sell this content or use it for advertising. A Customer can choose whether to use these features and what information they draw on.
5. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only:
- With service providers that help us run the Service, under contracts that limit their use of the information. These include hosting, email delivery, telephony and text-message delivery, payment processing, and AI providers.
- With the Customer whose account the information belongs to, and with integrations that the Customer chooses to connect.
- For legal reasons, when we believe in good faith that the law requires it, or to protect the rights, safety or property of our users, the public or us.
- In a business transfer, such as a merger, acquisition or sale of assets, in which case this policy will continue to apply to the information transferred.
- With your consent, or at your direction.
6. Text messaging privacy
The Service sends text messages on behalf of our Customers, such as booking confirmations, reminders and replies, and on our own behalf for account notices.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except with the service providers that deliver the messages.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to any message to opt out, and HELP for help. Opt-outs are honored automatically.
7. Cookies
We use cookies that are necessary for the Service to work, such as a session cookie that keeps you signed in and a cookie that remembers your selected business and preferences. Some pages use features from third parties, such as Google Translate, which may set their own cookies. You can control cookies in your browser settings, but blocking necessary cookies will stop you from signing in.
8. Data retention
We keep account information and Customer Data for as long as the Customer’s account is active, or as needed to provide the Service. Customers can delete records in the Service at any time. After an account is closed, we delete or de-identify Customer Data within a reasonable period, except where we must keep it longer to meet legal, tax or accounting obligations, resolve disputes, or for a limited time in backups.
9. Security
We protect information with measures such as encryption in transit (HTTPS), hashed passwords, access controls and staff permission levels in the Service. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you and the relevant authorities as the law requires.
10. Your choices and rights
- Customers can access, correct, export and delete most information directly in the Service, or by contacting us.
- Customers’ contacts (for example, parents and students) should contact the business they deal with. We will help that business respond to your request.
- Marketing email: use the unsubscribe link in any marketing email.
- Text messages: reply STOP.
Depending on where you live, including California and other U.S. states, you may have the right to know what personal information we hold about you, and to access, correct or delete it, or to obtain a copy. You also have the right not to be discriminated against for exercising these rights. We do not sell personal information. To make a request, email [email protected]. We will verify your request and respond within the time required by law. You may use an authorized agent, and we may ask the agent for proof of authorization.
11. Children’s privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. Many of our Customers teach children, and they may store information about their students in the Service. Each Customer is responsible for obtaining any consent required from parents or guardians. We use that information only to provide the Service to the Customer. If you are a parent or guardian and have questions about your child’s information, please contact the business your child attends, or email us and we will help.
12. Where data is processed
We are based in the United States. Our servers and service providers may be located in the United States, Canada and other countries, and information may be processed in any of them. Wherever it is processed, we protect it as described in this policy.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the new version on this page and update the effective date. If the changes are material, we will give Customers notice, for example by email or in the Service.
